Switching gift card providers on Clover — without voiding cards in customers' wallets

You can switch gift card providers on Clover without invalidating outstanding cards. Your current provider exports a balance file, the new provider imports it, and existing card numbers keep working at the register. The changeover takes about five business days and cards in customers' wallets never stop working. You do not need new hardware or a new merchant account.
What happens to your outstanding balances
Unredeemed gift card balances sit on your books as deferred revenue. They are a real liability, and for most merchants they add up to thousands of dollars spread across hundreds of cards that are sitting in wallets, glove boxes, and junk drawers. That is why the fear around switching providers is rational: if those balances vanished, you would be telling loyal customers that money they already paid you is gone.
They do not vanish. A gift card balance is a row in a database keyed to a card number. The plastic in your customer's wallet is just a carrier for that number. When you move providers, the outgoing platform exports those rows, the incoming platform imports them, and the card number now resolves against the new database with the same remaining value. Nothing about the physical card has to change.
The migration is also a reconciliation opportunity. Before cutover you compare the total outstanding liability in the export against your own accounting figure. Discrepancies are common on legacy platforms — cards that were activated but never funded, duplicate activations, promotional cards that were never expensed. You resolve those once, at migration, and start on the new platform with a liability number you can defend to your accountant.
The balance export file
Everything depends on one deliverable: a full balance export from your current provider. Ask for it in writing, ask for it as a CSV, and be specific about the fields. A masked card number or a summary total is not usable — the import needs the full number and the exact remaining value on each card.
Request these fields:
- Full, unmasked card number for every card ever issued
- Current remaining balance
- Activation date and current status (active, zero balance, voided)
- Expiration date, where one exists
- Total outstanding liability and the timestamp the file was generated

Send it from the email address on the account and copy anyone at your business with billing authority. Providers move faster on requests that look like a documented record.
If your provider stalls or refuses
Some providers slow-walk balance exports because the file is the only thing keeping you from leaving. Treat delay as a negotiating tactic and respond procedurally rather than emotionally.
- Read your agreement. Nearly every gift card processing agreement obligates the provider to return or make available merchant data on termination, and to settle outstanding liability. Quote the clause by number in your follow-up.
- Set a written deadline. Restate the request, cite the clause, and give five business days. Note that you are documenting the request for your records.
- Escalate above support. Support agents cannot approve data exports. Ask for the account manager, then the compliance or legal contact. Named humans answer written deadlines.
- Pull the data yourself. Most back offices expose a card-activity or liability report you can export page by page. It is tedious and it works.
- Rebuild from transaction history. If they release nothing, we reconstruct active balances from your activation and redemption history, then honor balances with verification at the counter for anything ambiguous.
You are never trapped. Worst case, the migration takes a few extra days and a handful of cards get verified manually — no customer loses value.
Day-by-day timeline
This is the five-business-day sequence once your balance export is in hand. Nothing on this schedule closes your gift card program for a single hour.

Do customers need new cards?
No. Every card already in circulation keeps working, and you do not need to contact customers, mail replacements, or post a notice at the register.
The reason is simple: a gift card carries no value on the card itself. The magnetic stripe or barcode stores an identifier. When the card is swiped, Clover sends that identifier to the gift card platform, the platform looks up the balance, and it authorizes or declines. Because the imported record keeps the original card number and value, the same swipe returns the same answer — it is just a different system answering.
You only order new cards when you want to: you are low on stock, or you want to refresh the design. Many merchants keep selling their existing inventory for months after switching and reorder on their normal schedule. If you do reprint, old and new cards work side by side indefinitely.
What goes wrong if you rush it
Migrations fail for three reasons, and all three come from cutting over before verification is finished.
1. Cutover before the delta file
You import a balance file from Monday and switch systems on Friday. Every card sold or redeemed in between is wrong: cards sold Wednesday show a zero balance, cards redeemed Thursday show full value. Fix: always import a final delta export on cutover day and keep the old platform readable, not deleted, for 30 days.
2. Card number format mismatch
Legacy platforms pad numbers with leading zeros, prefixes, or check digits. Import the raw file without mapping and a swipe returns “card not found” even though the balance is loaded. Fix: swipe a physical card during staging and confirm the number Clover reads matches the number in the import.
3. Untrained staff on day one
The balances are perfect but a cashier tells a customer the card is dead because the new activation flow looks different. That story costs more than the migration. Fix: 20 minutes of register training on day 4, and a printed one-pager at each station for the first two weeks.
