How to Check a Gift Card Balance on Clover (Merchant and Customer)

"How much is on this?" is the single most common gift card question at a counter, and the answer should take five seconds. There are three places a balance can be checked on a Clover program — the register, your dashboard, and a customer-facing balance page — and each one exists for a different situation. This guide covers all three, then walks through the troubleshooting sequence for a card that won't read, so nobody has to guess in front of a line.

At the register (fastest, staff-facing)

This is the one to train. It works on any Clover device with your gift card app installed — Station Duo, Mini, Flex or Solo.

  1. Open the gift card app from the Clover home screen.
  2. Choose Balance Inquiry (sometimes labeled Check Balance).
  3. Swipe the card, scan the barcode, or key the number printed on the back.
  4. The balance appears on screen; print or email the slip if the customer wants it.

Two habits worth building. First, check the balance before ringing a large ticket so you know whether a second tender will be needed. Second, remember that you don't have to: if you simply run the card as the gift card tender, Clover applies whatever balance exists and prompts for the remainder. Partial payment is not an error state.

During a sale

Mid-transaction, select the gift card tender on the payment screen and swipe. The screen shows the amount applied and the remaining balance on the receipt, which doubles as a balance check without leaving the ticket.

In your dashboard (history and disputes)

The register tells you the balance now. The dashboard tells you the story: when the card was activated, for how much, and every redemption since, with date, amount, location and device. Use it for:

  • A customer insisting a card was never used.
  • Reconciling a shift where a card was activated but the ticket looks wrong.
  • Finding a lost card's number by searching activations from that day.
  • Pulling your total outstanding balance for the books — see gift card liability and reporting.

Customer-facing balance checks

Every balance call your front desk takes is a small tax on service. Three ways to remove it:

  • A balance-check page on your website. The customer enters the card number and sees the balance. Link it from the footer and the main navigation.
  • The URL printed on the card. Put the balance-check address on the back of every card at design time — it costs nothing and works forever.
  • The e-gift email. Digital cards can carry a balance link in the delivery email, so recipients check without contacting you at all.

One security note: a gift card number is a bearer instrument. Anyone holding the number can spend the balance, so tell customers to treat the card like cash and don't post photos of the number.

When a card won't read

Work through this in order — it resolves almost everything in under a minute.

  1. Key the number manually. If manual entry works, the stripe or barcode is damaged, not the balance. Transfer the balance to a fresh card and retire the old one.
  2. Re-read the number carefully. Confusable characters cause more "invalid card" errors than anything else.
  3. Check activation. A card that was never rung up has no balance. Look for an activation record in the dashboard.
  4. Check the program it belongs to. Cards from a previous provider only work if those balances were migrated. If you recently switched, see switching providers.
  5. Test another card. If every card fails, it's the reader or the app, not the card — restart the device, confirm the app is installed and the device is online.
  6. Honor the customer, then reconcile. If the dashboard shows a balance the register won't take, apply the value as a manual discount and note the card number so the balance can be zeroed later. Never make a gift recipient pay twice over a technical fault.

Can a customer check their own balance without calling us?
Yes, if your program includes a customer-facing balance page. The customer enters the card number from the back of the card and sees the current balance. Link that page from your website footer and print the URL on the card so the front desk stops fielding balance calls.
Does checking a balance cost anything or move money?
No. A balance inquiry is a read-only lookup. It does not authorize, hold or deduct funds, and it does not appear as a transaction on the customer's card.
Why does the register say the card is not found?
Usually one of three things: the card was never activated at the point of sale, the number was mis-keyed (8 and B, 0 and O are the common culprits), or the card belongs to a previous provider's program that has not been migrated. Key the number manually to rule out the reader before escalating.
A card shows a zero balance but the customer says it's unused. Now what?
Look up the card's history in your dashboard. The transaction log shows activation and every redemption with a date, amount and device, which resolves nearly every dispute in under a minute. If the log shows no activation, the card was likely handed out before it was rung up.
Can staff check the balance of a card that isn't physically present?
Yes — a balance inquiry only needs the card number, so a customer reading the number over the phone or from a photo works. Treat that as sensitive: anyone with the number can spend the balance, so don't read balances out to callers who can't confirm the full number.
Do e-gift codes check the same way?
Yes, when e-gift and plastic share one balance ledger. Staff key the code from the customer's email exactly as they would a printed number, and the same balance page works for both.
